Course materials are included in the conference fee. Accommodation is not covered by the conference fee.
Accommodation
Usually, participants will take accommodation in the Heinrich-Lübke-Haus for the duration of the Interdisciplinary College.

These prices include meals.
For participants taking external accommodation, a fee of 310 EUR is charged for coffee breaks, meals, and the conference dinner.
Accommodation is not covered by the conference fee.
Payment
Money transfer must be completed for regular registration by February 16th and for early bird by January 13th. You will receive the bank details on your invoice. Delays will result in an additional fee of 50 €.
Payment by credit card will be possible, as well, soon.
Cancellation
If cancellation is received in writing before February 9th, you will be refunded minus 30 € handling fee. For cancellations received after that date, no refunds will be made.
Concerning COVID-19 (Corona Virus):
The event will be managed according to state and federal Covid-19 guidelines.
Travel Grants
Many universities and institutions offer support for conference travel by their members, especially if a poster is presented. We especially wish to highlight Travel Grants by the AI section of the German Computer Science Society.
Stipends
General Information
We value both excellence and diversity in equal measure. Consequently, we support individuals in financial need who are eager to face intellectual challenges and enrich the diversity of the IK community. In addition, applicants should be willing to contribute to the event, for example, as a ‘sunshine’ assistant or in another way. In our selection process, we especially wish to promote diversity in terms of academic disciplines, nationalities, and gender, and take additional burdens such as care work and being a first-generation academic into account.
While IK is a not-for-profit event, we acknowledge the fact that procuring funds to cover the costs for conference fee, accommodation, and travel can be a challenge to some participants, especially those who are still in formal education and training. Based on our values, we offer financial support in the form of stipends to a limited number of participants.
Depending on the amount of available funding, the number and value of stipends may differ from year to year. For IK 2025, we can offer a maximum of 15 stipends of EUR 200 each. Please, consider alternative funding sources, as well. Often, graduate schools, research clusters, and even some student councils (Fachschaften) offer financial support for events such as IK.
How to Apply for a Stipend?
You can apply for a stipend during the registration process. Please, register as a participant and indicate that you also apply for a stipend. In case your stipend does not get granted, you will be able to cancel your registration free of charge. Registrations with stipend applications must be submitted by January 2, 2025, 23:59h. We will only consider complete applications that are submitted by this date. There is no exception to this deadline!
We will notify you of grant or rejection in the first half of January via e-mail (find the full time line in the image below). Until then, you do not need to pay your registration fee.
What should I include in my Letter of Application?
The selection for a stipend will be based on your application letter and the information you provide in the registration form. In your letter, please, introduce yourself and tell us about your motivation to participate in the spring school. In addition to that – at your own discretion – you may want to
- indicate whether this is your first time participating in IK
- explain your financial situation
- point out diversity measures or additional burdens that apply to you as described above
Your letter must have 4000 characters max. Application letters will be treated confidentially and will only be read by the stipend selection committee.
We kindly ask you to restrict the use of AI tools to spell checking, punctuation checking and grammar correction when you compose your letter of application. We are interested in your personal motivation and will not consider generic letters. We count on your honesty.
What is a ‘Sunshine’ at IK?
Sunshines are volunteers who assist one particular lecturer by preparing the room, providing technical equipment, and being present during the lecture for troubleshooting. Often the role of a sunshine does not involve a lot of work, but you must be available if the lecturer needs your assistance. We will provide more details shortly before the event by email and at the site.
